Most school AI policies fail by being about AI. A policy that works is about assessment and honesty, and mentions AI as one way of getting into trouble with either.
Four decisions. Make them explicitly, write them in one page, and give the page to students rather than filing it.
1. Where is the line on each task?
Not one rule for everything. Per assessment, pick one of three:
- Open. Use anything, cite what you used.
- Assisted. Allowed for planning, research and checking, not for producing the text you submit.
- Closed. Done in the room, on paper or on a locked device.
Publish which one applies with the task, not in a policy document nobody reopens. A student who has to guess will guess in their own favour.
2. What does disclosure look like?
Make it small and specific enough to be complied with. "A sentence at the end saying which tool you used and what for" is a rule students follow. "Appropriate acknowledgement" is not.
Say what happens with honest disclosure of heavy use — if the answer is punishment, you have just taught them to hide it.
3. What are staff allowed to put into these tools?
State it as a short list of nevers, because that is the form people remember: never a student's name, never a student's work, never assessment data, never anything from a safeguarding file.
Name the approved tool for anything touching student work, and if there is not one yet, say that too.
4. Who decides when it goes wrong?
One named person handles a disputed case. Written down in advance, because a policy without an owner turns every incident into a negotiation.
What to leave out
Detection tool thresholds. Do not build a policy on a percentage from an AI-detection tool. False positives fall hardest on students who write unusually, including second-language writers, and a threshold in a policy will be treated as evidence.
A list of banned products. It is out of date within a term and it moves the conversation to which app rather than which behaviour.

If you only get one sentence in front of students: *tell us what you used and what you used it for, and never hand in something you could not explain.*
